5 Tasks Every Tradie Should Automate in 2026

You got into the trades to do the work. Not to spend your evenings writing invoices, chasing payments, and copy-pasting customer details into spreadsheets.

But that's what happens. The admin creeps in. Before you know it, you're spending 1-2 hours a day on stuff that has nothing to do with the actual job. And the worst part? Most of it can be fully automated for less than the cost of one call-out fee.

Here are the 5 tasks you should automate first.

1. Invoicing after each job

The problem: You finish a job, drive to the next one, and the invoice sits in your head until 9pm when you finally get around to writing it. Sometimes you forget entirely. That's money left on the table.

The automation: Mark a job as complete in your system (could be as simple as a Google Form on your phone) and the invoice writes itself, emails itself to the customer, and logs itself in your accounting software. Zero clicks after the initial trigger.

Time saved: ~20 min/day. That's 8+ hours a month you get back.

2. Quote follow-ups

The problem: You send a quote. Three days go by. Did they get it? Should you follow up? You don't want to seem pushy, but you also don't want to lose the job. So you do nothing. And the job goes to someone who did follow up.

The automation: Quote sent? A friendly follow-up email goes out automatically after 3 days. If they still haven't responded, another one at day 7. Professional, persistent, and you never have to think about it.

Revenue impact: Even one extra converted quote per month pays for the automation 10x over.

3. New enquiry responses

The problem: Someone fills out the "Get a Quote" form on your website at 2pm. You're on a job. You don't see it until 6pm. By then, they've called two other tradies who picked up faster.

The automation: New enquiry comes in? An instant email goes out: "Thanks for reaching out. We've received your request and will get back to you within 2 hours." The lead feels acknowledged, you look professional, and you buy yourself time to respond properly.

Time saved: 5-10 min per enquiry. More importantly: fewer lost leads.

4. Review requests

The problem: You do great work. Your customers are happy. But you never ask for reviews because it feels awkward and you forget. Meanwhile, your competitor with 200 Google reviews gets all the new calls.

The automation: Job completed + invoice paid? Two days later, a friendly email goes out: "Thanks for choosing us. If you were happy with the work, we'd really appreciate a quick Google review." Includes a direct link. No effort from you.

Impact: Even 2-3 extra reviews per month compounds fast. In 6 months, you're the highest-rated tradie in your area.

5. End-of-day job summaries

The problem: You finish the day with no clear picture of what got done, what's outstanding, and who still needs to be billed. You're keeping it all in your head or on scraps of paper.

The automation: Every day at 5pm, you get an email summary: jobs completed today, invoices sent, outstanding payments, tomorrow's schedule. One glance and you know exactly where everything stands.

Time saved: 15-20 min/day of mental overhead and manual checking.

The math

Add it up. These 5 automations save you roughly 10-15 hours per month. At a tradie's hourly rate of $80-120, that's $800-1,800/month in recovered time.

Each automation costs $75, one-time. The entire set runs you $375. It pays for itself in the first week.
